Remove, complete, delete or unsubscribe: what changes?

Choose the action that matches what you want to change: list membership, the person’s record, or email delivery. An applicant can have more than one list membership and more than one family email contact.

Compare the actions

ActionWhat changes?What remains?
CompleteEnds membership on the selected list as a successful placement. The person’s record and other list memberships.
RemovedEnds membership on the selected list because the person no longer wants or is eligible for it.The person’s record and other list memberships.
List CleanupEnds qualifying memberships on the lists selected for that cleanup. The person’s record; memberships outside that cleanup.
Delete personRemoves that person from their lists with reason Person Deleted and hides their details, notes and history from the site. This cannot be undone.Other family members, who must be deleted separately if needed.
UnsubscribeStops email to the contact. The person’s record and list membership. It does not confirm or remove an applicant.

Choose a list status to end a waitlist journey

Use Complete for a successful placement and Removed when the person no longer wants or is eligible for the place. These are status types; your account may display names such as Enrolled or Accepted. Entry and intermediate statuses keep the membership active. See List Status.

For a customer confirmation page, a Keep on list or Remove from list action applies only to the named person and the list beside that action. It does not change a sibling’s memberships. See Customer Removals and Confirmations.

Delete only when you intend to hide the person’s record

On a person’s record, Delete [name] opens a page describing the consequences. It ends that person’s active memberships with reason Person Deleted and hides their details, notes and history. Other family members are kept. The app states that deletion cannot be undone. If the person has only left a waitlist, use a list status instead so their history remains available.

An email preference is not a list decision

An unsubscribe stops email to the contact; a bounce is a delivery failure. Neither is a request to remove the applicant from a waitlist. If a customer wants email restored, they must ask a staff member to resubscribe them. See Email delivery and unsubscribe help.

Review cleanup separately

List Cleanup applies date and priority rules to memberships on the selected lists. Preview its scope before applying it; do not treat it as a way to delete person records.

Recovery depends on the action

  • Complete or Removed: Use the immediate Undo notice for a mistaken single or bulk change. After it disappears, manually add the existing person back to the appropriate list.
  • Cleanup: Review Activity > List removals. If someone needs to return, manually add their existing record back to the appropriate list.
  • Delete person: Permanent and cannot be undone. It deletes only that person, not their family.
  • Unsubscribe: The customer must contact a staff member to request resubscription. Restore email only at their request.

For the steps to add an existing person back to a list, see Manage a person’s place on a list.
